KLM Safaris Terms and Conditions

Payment Policy

In order to confirm your tour booking with KLM Safaris you need to pay 30% deposit of the total tour cost to secure your booking. The remaining 70% can be paid one month before travel or on arrival.

Payment Options

Please feel free to contact us for the payment details so that you may secure your booking for Safaris, Mountain climbing, Hotels and Lodges, Cultural Tours and more Tailor-made Safaris Booking and reservations. Bank transfer requires addition of $45 bank transfer fee. Credit Card requires addition of 3.5% bank charge fee.

Cancellation Policy

Cancellation of a reserved tour must be made in writing and is effective from the date we receive the written notification. The following percentage will apply
(a) 29 -15 days prior: 50% of the tour cost
(b) 14 -7 days prior: 75% of the tour cost
(c) 6 days, less prior, or no show: 100% of the tour cost.

Refunds

There are no refunds for unused portions of the program, and refunds will not be made to clients who do not complete the tour for any reason. Whatever amendments made to the itinerary once paid for, may result in additional costs.

Booking your travel with us

When you book your trip to Tanzania with KLM Safaris, either directly or through our network, travel marketplaces, or other travel professionals, you agree to the collection, use, and sharing of your information with third parties. These include accommodation providers, travel experience operators in Tanzania, and the Tanzania National Parks Authority. The information we may collect includes:

  • Passport details (name, age, nationality, number)
  • Residency status
  • Contact details (email, phone number, emergency contact)
  • Insurance information
  • Medical and health details
  • Dietary preferences
  • Tour details (hotels, itinerary)
  • Copy of Payment Slip

Some of our trips involve third-party services, such as hotel stays or experiences, we need to make these activities possible, we may need to share your information with these providers. For example, hotels may need your dietary preferences to offer safe and quality service. These third-party providers can only use your information to fulfill services related to your KLM Safaris tour. By booking with us, you agree to this.

Additionally, we may use your information for different purposes includes:

  • Recommending suitable travel options
  • Sharing details about our travel products
  • Providing customer service and resolving issues
  • Ensuring your safety during the trip
  • Managing business tasks like accounting
  • Complying with Tanzanian and international laws

Reviews

If you leave a review about your experience with KLM Safaris, it may be published on our website, social medias and other documentations along with your name, unless you used a pseudonym.

Medical Information

We may share your health-related information with medical personnel if needed. We will not share this information with third-party service providers or the government unless it is essential for your safety. You can opt out of providing medical details, though we strongly recommend sharing this information for your well-being during the trip.

Protection of Your Personal Information

We take steps to ensure your personal information is secured and accessible only to authorized personnel, typically a manager handling your booking and your trip leader. We regularly review our website for vulnerabilities and only retain your information for as long as necessary to provide our services.

Photos and Videos

Your photo or video may be taken by our staff, a professional photographer, or other travellers for company marketing purposes. Our photographers are instructed to ask for permission before taking photos. If you prefer not to be photographed, please inform your trip leader and photographer. Occasionally, we may hire a professional photographer to capture promotional images for our website or brochures, for which we will ask for your written consent.

Communications

To avoid scams, ensure you communicate with us through official channels:

Thanks to our proactive communication policies, we have not experienced cases of impersonation. However, remain vigilant. If you suspect fraud, contact our founder Dr. Gileard Minja.

Changing Travel Dates

If you need to change your travel dates after payment, notify us at least 30 days before your original tour start date. Any new dates must be within one year of your initial booking. Be aware that Tanzanian domestic airlines do not reschedule flights, and hotels may charge penalties for date changes or increase accommodation costs depending on the season. You will be responsible for any additional fees.

Itinerary Changes

Client-Initiated Changes

  • If changes to your itinerary do not incur additional costs for us, we will adjust them free of charge. Any extra costs must be covered by the client.
  • If you voluntarily or involuntarily leave the tour, you must cover any resulting costs, but not to cover for transportation or accommodation.
  • No refunds will be issued for missed services, activities, or meals.

Company-Initiated Changes

  • While we aim to stick to the planned itinerary, circumstances such as bad weather may force changes. We will inform you promptly of any such changes.

Third-Party Changes

  • The company is not liable for delays, disruptions, or losses beyond our control, including third-party actions, flight delays, or force majeure events. You or your insurance will be responsible for covering any extra accommodation or transportation costs incurred.

Pricing

Once your booking is confirmed, the price is locked in unless the Tanzanian government increases park fees, taxes, or other related costs. If this occurs, we will notify you immediately and provide two options:

  • Cancel the tour and receive a refund in line with our cancellation policies
  • Agree to the price adjustment and pay the difference.
